Unleash your team’s full potential with Shared Folders — a NordPass for business feature that not only helps you organize your workspace but also amplifies productivity and cuts down on daily distractions. Want to explore how it can improve your company’s efficiency? Jump right in and learn how to leverage the Shared Folders feature to the maximum extent.

What’s all the hype about Shared Folders?

In today's, fast-paced office environment, the swift, seamless, and secure exchange of information is crucial. Just think of your average day and how often you need to access specific online services or accounts just to carry out the simplest of tasks. Any delays or obstacles in sharing data not only waste time but also significantly affect individual and team productivity, with potential consequences mirrored in revenue loss. You get the idea.

Shared Folders are here to counter these hindrances and help you improve operational efficiency within your company without compromising security — that’s what all the hype is about.

Functionality and real-life use cases

Shared Folders allow NordPass users to seamlessly share multiple items at once — which is perfect for cross-team collaboration and other joint projects.

Say the marketing team works on the project with the sales department. The marketing team has prepared content for the campaign that the sales team will carry out. That content needs to be shared, but security checks are in place: usernames, passwords, all that jazz.

Thanks to Shared Folders, the marketing team can create a single folder in NordPass that comprises all required logins, and share that folder with the entire sales team rather than sharing the credentials with each member separately. New items added to the Shared Folder will instantly be available to anyone who has access to that folder.

Member tips: How to make the most of Shared Folders

Use Shared Folders to stay organized.

Consider the way your company manages sensitive information. Do people in the same role need access to the same single-license software credentials? Do certain teams need to pull up some corporate credit card information time and again? Or is access to sensitive data more fluid — changing with each passing day and every new project?

The answer could be “all of the above.” In any case, with Shared Folders, you can group logins, secure notes, personal information, or payment cards so that any member of your organization who needs that information can access it readily and securely.

Establish a consistent naming convention.

To make sure your folders stay organized, we suggest developing a standard for naming folders. Ideally, the folders’ names should clearly explain either what is stored inside or who needs access.
Depending on your organizational setup and chosen grouping convention, you might name a folder “Human Resources” or “Black Friday Promotion.”

Practice good access rights hygiene.

In a perfect world, access to sensitive data such as passwords is granted only to those whose role necessitates —  keeping access rights lean is part of what Shared Folders are designed to do.

We suggest auditing access to Shared Folders as needed. For instance, say you created a dedicated folder for a limited-bound project. With Shared Folders, you can easily revoke access to the folder once the project concludes.
